Job Title: Patient Care Coordinator/ Medical Receptionist
Supervisor: Health and Massage Clinic Co-Director
Location: Medical Clinic, Arlington, WA

SUMMARY OF RESPONISIBILITIES:

REPORTING RELATIONSHIPS: Reports directly to Health and Massage Clinic Co-Director

SCOPE OF RESPONSIBILITIES:

1. Greet patients
2. Answer telephone calls promptly and courteously
3. Update and verify patients information i.e. Address, telephone number
4. Check in with patient while they are waiting for medical appointment
5. Make copies of identification, and tribal information
6. Hand out proper paper work
7. Collect any co pays, additional fees, print receipts
8. Retrieve answering machine messages and return calls promptly
9. Assemble and label patient files
10. Maintain strict confidentiality of patient information
11. Maintain a smooth flow of communication between patient, provider, and other clinical staff
12. Provide assistance to patient if needed
13. Make, cancel, and re-schedule appointments as needed
14. Work with clinical staff and coordinate patient referrals
15. Follow up with referrals
16. Pull charts for medication refill request and other medical correspondence
17. File lab results and other medical correspondence once signed off by the provider
18. Schedule presentations for pharmaceutical representatives
19. Assist medical staff in health fairs and other clinic related activities
20. Transport tribal members when Community Health Representative is not available
21. Maintain patient comment box i.e. supply of comment cards, retrieving comment cards periodically
22. Keep clinic and waiting area clean, organized and safe
23. All other duties as assigned by direct supervisor



MINIMUM REQUIRED TRAINING AND EXPERIENCE:

1. High School graduate or GED.
2. One year relevant office/administrative experience requiring accuracy and attention to detail.
3. Typing speed of at least 45 wpm with no errors.
4. Good command of computerized word processing programs.
Ability to operate general office equipment including computers, photocopiers and fax machine Ability to pass criminal background check and pre-employment drug screen WA State Driver license and ability to be approved by Tribal insurance to drive Tribal vehicles. Experience in maintaining confidentiality.

Constantly requires verbally expressing or exchanging ideas of important instructions accurately, loudly, or quickly. Constantly requires working with fingers rather than the whole hand or arm. Constantly requires repetitive movement of the wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks. Occasionally requires standing and/or sitting for sustained periods of time. Occasionally requires ascending or descending stairs or ramps using feet and legs and/or hands and arms. Occasionally requires raising objects from a lower to a higher position or moving objects horizontally.Occasionally requires stooping which entails the use of the lower extremities and back muscles. Infrequently requires crouching. Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.

The worker is frequently subject to inside environmental conditions, which provide protection from weather conditions, but not necessarily from temperature changes, and is subject to outside environmental conditions and to wet and/or humid conditions. The noise level in the work environment is usually low to moderate.



HOURS OF EMPLOYMENT

Basic hours of work are 8:00 to 4:00 Monday through Friday, or as modified based on specific needs of the clinic or social service department.
