Position Summary

Provide multi-faceted administrative and clerical support to the Stillaguamish Tribe Board of Directors with limited supervision.  Provide administrative and clerical support for the Chairperson and Council Members as recording Secretary. Provide general communications office functions; including compilation and dissemination of information to the public, and other related duties. Position may occasionally be required to work nights or weekends.

Essential Duties and Responsibilities

·Provide administrative and clerical support to the Tribal Chairperson and the Stillaguamish Tribal Council.
·Prepare correspondence from brief dictated notes or on own initiative.
·Receive telephone calls and incoming mail and direct appropriately and efficiently.
·Undertake a wide variety of sometimes complex clerical and information communication tasks requiring the application of independent judgment and knowledge of regulations, policies, or procedures; filing systems.
·Maintain an appointment calendar, as requested.
·Take and transcribe minutes of meetings.
·Prepare material for meetings; notices, resolutions, agenda, and related reports.
·Handle personal and/or confidential mail.
·Develop and maintain a filing and retrieval system for all official Stillaguamish Board of Director Minutes, resolutions and records.
·Perform other duties as assigned.
·Adheres to and comply with strict confidentiality standards
·Provides assistance to BOD Members as required.
·Performs all other duties as assigned by immediate supervisor.
·Maintains a clean and organized workstation.

Required Knowledge, Skills and
Abilities
·Thorough knowledge of business English, spelling and punctuation.
·Thorough knowledge of office practices and procedures.
·Ability to compose letters and memoranda independently.
·Ability to maintain effective working relationships with officials, department heads, other employees and the general public.
·Superior secretarial and office organizational skills.
·Excellent knowledge of Microsoft Word and Excel programs.
·Must have excellent oral and written communication skills.
·Must have precise and accurate writing skills.

·Must have the ability to remain professional in an intense environment.

 

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.  The worker is frequently subject to inside environmental conditions, which provide protection from weather conditions, but not necessarily from temperature changes, and is subject to outside environmental conditions and to wet and/or humid conditions.  The noise level in the work environment is usually low to moderate.

Position Qualifications
·High School diploma or GED equivalent required
·Extensive experience in performing complex clerical work of a progressively responsible nature.
·Ability to type 50 words per minute.

·Ability to take dictation at a speed of 60 words per minute.
